The Student Center Event Services Team supports the reservable meeting rooms in Exhibition Hall and West Village. The meeting rooms and large event spaces are available for campus events and meetings, as well as corporate meetings and private events.​ We look forward to serving the community in the newly renovated Student Center as well in late 2022. All currently available meeting rooms have A/V capability, but use of technology and other equipment must be requested as part of your reservation. For more information on room setup options, reservations, and other services, please contact our Event Services Team at screservations@mail.gatech.edu or at 404-894-2805.

Fall 2021 Campus Event Guidelines

In an effort to promote the safety of our guests, the following will be implemented for all meetings and events in our spaces:

General Campus Guidelines |

  • All indoor and outdoor event spaces have returned to full capacity. 
  • Everyone is encouraged to wear a mask or face covering while inside campus facilities.
  • Event hosts are encouraged to consider outdoor venues that reduce crowding and improve air flow. Event hosts are also encouraged to configure indoor spaces to maximize circulation of people and airflow.

Required Event Safety Protocols |

  • Communicate campus safety requirements with attendees in advance of the event. 
  • Consult with any external partners, vendors, or contractors to ensure they are following safe practices. This includes:
    • Wearing proper PPE while preparing food.
    • Having procedures in place if a staff member shows signs of COVID-19.
  • Post signage at your check-in table reminding guests who are experiencing symptoms of COVID-19 to not participate in person and reminding guests they are encouraged to wear a mask.
  • Provide hand sanitizer and face coverings at check-in table.
  • Event hosts may not record temperature or COVID-19 test results as part of their check-in process.
  • Event hosts may not ask if an individual is vaccinated or require proof of vaccination.
  • Event hosts may not require a face covering at the event.

Recommended Event Safety Protocols |

  • Provide a check-in sheet with attendees' names and contact information.
  • Avoid offering any self-service food or drink options. 
  • Individually packaged grab-and-go food items are encouraged to prevent crowding.
  • Quickly clear meals to encourage guests to resume wearing their face covering.

Meet With Our Team

We also understand the varying comfort levels you may have related to meeting in-person to discuss your event. Our team has prepared two options for event logistic meetings this fall: an in-person meeting including a tour of your event space, or a virtual event meeting via Microsoft Teams, or another preferred platform.

Be sure to include your reservation number and any relevant details when making your appointment, which must be made at least 2 weeks prior to your event.

Room Setup Options

Special Event Parking

Parking and Transportation Services makes every effort to accommodate all special event parking requests. Due to the nature of college campuses and other scheduled events, accommodations are not guaranteed.

75 Vehicles or Less | Validations for Area 1 may be purchased in advance on the Parking and Transportation Services website.

75 Vehicles or More |  Parking arrangements can be made to accommodate large events expecting 75 or more vehicles in the W02 Parking Deck, which is adjacent to the Student Center. There are two operations options for the W02 deck:

  1. Pre-Paid Reservations: The client may pre-purchase parking in W02 for a flat fee, which includes the raising of the gates and an attendant. In/out privileges are not allowed.
  2. Self-Pay Upon Entry: Guests park in W02 and pay per vehicle upon entry or exit. This option includes an attendant for the duration of the event as guests enter.

*Please note guests will share the parking deck with W02 campus permit customers. Prices vary based on the estimated number of vehicles.
